Tips For Planning An Office Christmas Party

Christmas parties are what most employees look forward to at the end of the work year. They’ve put in the hours to make the business a success this year, and the Christmas party is a way of showing your appreciation.

It’s can also be a great morale-booster, one that will end the year on a positive note and encourage employees to come back to work next year happier and more productive than ever!

1) Decide Where Your Party Will Be Held

Your party will be held either at an external venue or your office. You decision mainly will depend on how many people will be attending and what your budget is. A quick Google search will help you find the external options of venues and events that are available in your area.

For larger events, it can be something grand, such as an iconic building that has undergone renovations to be used for these events or at a fancy hotel. For smaller events, look at things like village halls and pub function rooms.

2) Choose Your Theme

If you are participating in a shared party this step can be skipped since it will be determined for you. This is also true with exclusive parties (however, don’t worry, since they can be spectacular events). Think about themes such as “candy store” or “under the sea.” If you are choosing your own theme or with professional Christmas decorators then this is the time for you to have some fun!

After you have selected your theme, make a list of all of the different props and decorations that you are going to need and then prepare yourself to go on a huge shopping trip!

3) Set a Date

Do this as soon as you can. Even with plenty of notice, it can be very difficult to pin down a small number of people for a certain data, so just think how hard it will be with a big group and just a few weeks in advance.

The best thing to do is choose a venue and a couple of dates that work well for you and then hold a vote and ask people to choose their preferred option.

4) Invite Your Guests

Once you have secured the venue, it’s time for you to announce it to your group. Either send an email to ‘Save the Date’ and then send out formal invitations about a month before the party once you have all of your details. Or, if you have all of the necessary information, then go ahead and mail out the invitations.

5) Choose Your Food Options.

Start considering your catering options about 2 to 3 months prior to your event. If you are going to be attending an exclusive or shared party, you won’t have a lot to do (except perhaps send out menu options and collect responses). However, if you are planning your own event, then you have some work to do.

The first thing that needs to be done is determine if anyone has special food requirements; do you have any allergy sufferers, vegans, vegetarians, etc. that will be attending your party? If you do, be sure there are options for them as well.

Your job will be much easier if you hire caterers. They will be able to provide you with menu options, and then all you need to do is choose the ones you want for your party.

6) Choose Your Drinks

If you will be attending an exclusive or shared even, then usually this is included in the package. However, if it isn’t, then you will need to determine how much you are going to need as well as where you will get your beverages from.

A good rule of thumb to follow is to have 2 drinks for every guest during the first hour of your party and one drink for every hour afterwards.

If you are going to provide table wine, generally allowing 2 glasses (or half of a bottle) per individual is generally considered to be correct.

Don’t forget about water and soft drinks – there will be individuals who can’t or don’t want to drink alcohol, and you will also need to ensure that guest who drinks alcohol do it safely – which also means having non-alcoholic beverages as well.

7) Plan The Evening’s Entertainment.

The venue might do this for you, however, if it isn’t then you will need to make your own arrangements. At the very least, make sure there is music so that people can dance (for most people that is sufficient entertainment), but extra entertainment can also be added if you change the budget and time for it.
